Our services are carried out according to these procedures:
1.1 REQUEST ONLINE TO SELL YOUR ITEM
By filling out the request form (Request), you can request to sell your object or objects (jewels, diamonds and precious stones) of your property.
When you complete the Request, you are asked to provide us with a complete and accurate description of the valuable item you would like to sell, and to attach one or more clear photographs, if possible.
The more detailed and accurate the descriptions are, the easier it is for Auctentic to provide you with an accurate estimate of the value of your item (as described below) and the higher the likelihood of affecting a higher number of buyers interested in your item.
Auctentic reserves the right to refuse to assist in the sale of any item for any reason at its discretion.
All Requests are subject to Auctentic’s final approval and prior item evaluation. Auctentic reserves the right to refuse any Request at any time prior to the completion of the transaction.
IT IS CLARIFIED HERE THAT BY USING OUR SERVICES, YOU UNDERTAKE TO USE THEM ONLY TO SELL ITEMS OF WHICH YOU ARE THE LEGITIMATE OWNER. YOU THEREFORE ASSUME FULL LIABILITY FOR THE ITEMS YOU SELL THROUGH OUR SERVICES AND RELEASE AUCTENTIC AND ITS EXPERTS, EMPLOYEES AND REPRESENTATIVES FOR ANY LOSS RELATING TO ANY ILLEGAL OBJECT AND SOLD THROUGH THE SERVICES. YOU ALSO ACKNOWLEDGE THAT THE SALE OF STOLEN ITEMS, ITEMS TAKEN WITHOUT AUTHORIZATION OF THE LEGITIMATE OWNER OR ITEMS SERIOUSLY BY MORTGAGE OR OTHER LEGAL DUTIES, VIOLATES ITALIAN AND INTERNATIONAL LAW. ANY ATTEMPT TO SELL STOLEN ITEMS USING THE SERVICES OF AUCTENTIC WILL BE REPORTED TO THE LAWS. IN ADDITION TO ALL OTHER JUDICIAL REMEDIES, IT IS CLEARED THAT THE EXPENSES INCURRED FOR THE ABOVE MENTIONED ITEMS THAT VIOLATE THE LAW MUST BE REFERRED IN TOTAL TO AUCTENTIC.
1.2 STEP 2: Receive an initial estimate for the object
After submitting your complete request, we will respond immediately with an initial estimate of the value of your object, based on the description and photographs provided (Estimate item). If we decide instead not to accept your Request, we inform you that we have rejected it.
The initial estimate provided to you by Auctentic is not formally binding, is at our discretion and may differ from the true market value of your item. After receiving the initial estimate by email from Auctentic, you can ACCEPT it and continue your sales journey with us or you can REJECT it at your discretion.
1.3 STEP 3: PACK AND SHIP YOUR ITEM TO AUCTENTIC
If you wish to continue, receive a prepaid shipping label from Auctentic to ship your item to Auctentic’s headquarters in Antwerp, Belgium, at the Antwerpsche Diamantkring, the world’s largest rough diamond exchange where our gemologists carry out physical assessments. of jewels, diamonds and precious stones before offering them for sale.
The shipment is fully insured and arrives at Auctentic’s offices the following day.
Your item in transit is covered by Lloyd’s of London insurance up to a basic € 50,000, in relation to the resale value but all items estimated to be over € 50,000 always receive additional coverage which is communicated to you prior to the start of the procedure shipping, at the discretion of Auctentic.
YOU MUST SHIP YOUR ITEM WITHIN 14 DAYS OF PRINTING THE LABEL, USING A BOX WITH A MINIMUM SIZE OF 20X20CM.
IF YOU SEND YOUR ITEM VIA OUR PREPAID LABEL AFTER 14 DAYS OR USE A SMALLER BOX THAN AS REQUIRED ABOVE, YOUR VALUABLE ITEM MAY NOT BE COVERED BY INSURANCE DURING THE TRANSIT.
If you decide to ship without relying on our prepaid and insured shipping, you are responsible for all shipping and insurance costs.
Keep in mind that we are not responsible for any damage that may occur to your item during transit, so remember to perfectly pack your precious, using all safety precautions such as double packaging or specific packaging for fragile items.
When packing your item, always keep in mind the delicacy of what you are packing and what could happen during the loading of the packages and the transport. For the safety of your precious item we strongly recommend that you never indicate the contents of the package on the outer box.
Auctentic reserves the right to reject the delivery of packages that appear damaged, opened or tampered with. In case of rejection by us, please know that the package will be returned to you by the courier in the same state it was in when we rejected it.
If your item is lost en route or arrives damaged, Auctentic will assist you with the refund request process, which you must complete and forward to the carrier responsible for insurance.
1.4 STEP 4: THE OBJECTS HAVE BEEN RECEIVED AND ARE ASSESSED. GET THE HIGHEST DIRECT OFFER.
Once your object is received, our experts inspect your precious in person to verify and certify its authenticity and the condition in which it is found. Depending on the type of precious item, the inspection takes place through the internal experts of Auctentic or one of the highest independent institutes such as the GIA or I.G.I. of Antwerp. After having made all the checks, the object is ACCEPTED or REFUSED:
(1) THE OBJECT IS ACCEPTED: If your object matches the description you invited via the Request form, based on the evaluation of the experts it is deemed suitable for sale and therefore accepted by Auctentic. You are notified of the highest immediate offer (item Immediate Offer) received by professional international buyers who have shown interest in purchasing it.
(2) THE OBJECT IS REFUSED: If your object differs substantially from the description you provided via the Request form, if it is counterfeit, if it is in poor condition or if it is not suitable for sale, at the sole discretion of our experts , is rejected. In this case we notify you that the item has been rejected and is ready to be returned to your home and that the insurance coverage previously granted on the basis of the description provided by you can be significantly reduced or eliminated accordingly to the actual value of the same. The item is returned at our expense via the Ferrari courier or other couriers chosen by Auctentic providing you with the tracking number of the shipment, if available. Your item will still be covered in case of damage or loss during shipment in accordance with the physical assessment established by our experts at their sole discretion, up to € 1,000. In case you prefer an alternative shipping method or a higher insurance coverage, you have up to 48 hours from our informative email communicating the refusal of your item to inform us of your decision to decline our shipment, and to arrange the your own, by sending us the prepaid shipping label of the courier of your choice. In the latter case, the costs
shipping and insurance are completely at your expense.
By sending us your item for physical assessment, you understand that certain items require very thorough examination to be fully assessed. Deep physical inspections of objects can result in very slight physical alterations, such as very small signs or structural changes. For example, when evaluating a watch, it may be necessary to open the back to carry out an appropriate examination, just as it may be possible to remove a diamond from the setting to certify it in every detail. It is understood that before carrying out any operation of this type, your trusted Auctentic advisor will carefully inform you and ask for your written consent to proceed.
Similarly, when we receive a sealed or packaged item, we must remove the packaging for its full evaluation. In some cases, it is not always possible to place the object exactly in its original location. Furthermore, in the case of an object put up for auction, cleaning and polishing is almost always required, which can alter its appearance in an absolutely slight way. Auctentic and its collaborators and experts cannot be held responsible for these very slight changes in the objects, due to inspection and preparation for the auction. In some cases the Auctentic team may decide, after having notified you and in agreement with you, to have your object certified or examined outside its offices: even here your precious is always constantly and completely insured.
Once your item is accepted and you have received the Instant Offer, you can accept it and receive the immediate transfer or decline and ask to put your item up for auction. In this last case, your trusted Auctentic assistant helps you to set the reserve price (item Reserve Price) which is the minimum amount you are willing to accept to sell your item.
Setting the Reserve Price is a mandatory step before starting the auction of your item.
BY DETERMINING THE RESERVE PRICE AND CONTINUING THE PROCEDURE, YOU AGREE TO SELL YOUR ITEM TO THE SELLER WHO WINS THE AUCTION WITH HIS FINAL BID, WHICH MUST BE EQUAL TO OR HIGHER TO YOUR RESERVE PRICE.
1.5 STEP 5: AUCTENTIC AUCTION YOUR ITEM
Auctentic creates the auction for you, providing the best professional and impartial description of the qualities of your object, based on the evaluation of its experts. The auction is published on the Auctentic website, where an audience of professional buyers are advised to compete with their bids and win your item.
Auctentic reserves the right to extend the auction duration when it expects low demand for your item from buyers, in order to allow you to receive as many offers as possible.
At any time you will be able to see the offers arriving in real time and the duration of your auction.
Without prejudice to the strictest confidentiality regarding your personal data and your privacy, Auctentic reserves the right to publicly share information that strictly concerns the object you have decided to sell at auction through our Services.
At the end of the auction, the Auctentic team verifies all bids received for your item and determines the winning bid (Winning Bid item) on a number of parameters determined in our sole discretion. Keep in mind that the highest bid you receive in the auction may not even turn out to be the Winning Bid, as there may be reasons to disqualify certain bids.
We promptly inform you about the Winning Offer and our commissions on the sale (Commissions item), calculated on the percentages that are available in the FAQ section of the site.
Our commission is applied when you accept the Winning Offer.
Once you are notified in writing of the Winning Bid and Auctentic’s commission, you have up to three (3) days to notify us in writing if you accept or decline the Winning Bid.
If we do not receive your intentions within three (3) days from the date we informed you of the Winning Bid, your silence is deemed to be a rejection of the Winning Bid.
PLEASE KEEP IN MIND THAT IF THE WINNING OFFER IS EQUAL TO OR HIGHER THAN THE RESERVE PRICE (BEFORE THE APPLICATION OF OUR COMMISSION) YOU ARE ALREADY BOUND TO ACCEPT THE SALE.
If you decline the Winning Bid because it is lower than the first Instant Bid you received, Auctentic will return the item to you at its expense without applying any fees, except for the living cost of the certification that was previously communicated to you and accepted by you before going to auction.
The item is returned to your home via the Ferrari courier or other carriers chosen by Auctentic with tracking number, if available, and covered in case of damage or loss in accordance with its reference value which corresponds to that of the Immediate Offer but in any case not exceeding € 1,000. If you prefer a different shipping method or greater insurance coverage, you have up to 72 hours from our return notice email to provide us with a prepaid shipping label, where the shipping and insurance costs are entirely intended to your cargo.
If you decide to sell your item by accepting the Winning Offer, you will be sent an email with the request for acceptance of the sale that allows you to complete it, accept the conditions and thus be able to receive the transfer to your account. By clicking on the “Sale Acceptance” button (Sale Acceptance item) that you find in the email, you are sent to the appropriate Sale Acceptance form on the Auctentic website where you are asked to accept the sale and its conditions, effectively authorizing us to apply the commissions on the amount to be transferred to you.
1.6 STEP 6: PAYMENT AFTER THE AUCTION
After you have confirmed your intentions on the Sale Acceptance form, we will transfer the amount declared in the form to your bank account..
